Visitor Registration & Entry

  • When a visitor arrives at the gate, the security person needs to register details necessary from security perspective without consuming too much time yet capturing all the details that are important for security TreasureGurad interface is designed for it
  • Security person will enter name and mobile number of the visitor to find if the details are already available with society
  • If the details are already available (that would be the case when person visited the premises on a earlier occasion or visitor’s information was prefilled at the time of advance intimation by resident host)
  • If visitor is not registered, register the visitor with the following types of details Name, Address, Mobile Number, Govt ID details, Name of Organization, Purpose of Visit, Photo, Number of people accompanying the visitor, vehicle details, photo of the vehicle Whether proxy for a ID card holder from a service provider/vendor Name of the host, unit number
  • Authentication of key data ie Visitor mobile number will be done confirmation through OTP mechanism
  • A log of security incidents, if any, reported against the visitor will be flashed Security person can be extra cautious on allowing entry of this person in to society premises
  • On successful registration, host will be notified, and on confirmation by the host, the visitor will be allowed entry

Visitor Exit

  • When a visitor returns at the gate after visiting a host, security person Will search for the days entry log and select specific entry log – this interaction is made very easy to use for productivity of security person
  • Will review confirmation of the visit by host and review elapsed time between host confirmation and reaching the gate
  • Will review if any gate pass issued by the host
  • If issued, will verify items against description in the gate pass
  • Fill-in material verification report
  • Host will be notified of the same
  • May report security issues, if he suspects something unusual

Domestic/Society/Contract Staff Entry

  • Majority of staff visit a society daily In large societies, there can be significant number of personal and society staff and many of them may arrive in a short span of time To speed up staff’s entry and exit process, ID card is provided to them Security person can quickly scan the ID cards – no typing necessary
  • Entry is possible without ID card – when a staff has forgotten his/her ID card, ID card is in the process of renewal or a small society opts to not have an ID card

Domestic/Society/Contract Staff Exit

  • A) ID Card is provided to the Staff Input:
  • Scan QR Code/Barcode on the ID card
  • Auto-capture:
  • Date & Time stamp
  • If last day of the ID Card/No member is providing work – flag it out and start “Report capture(confiscation) of ID” Display ID card information for verification by security people and send notification to all the members concerned + society manager + committee [sometimes there may be issues/delays in renewal of ID card – so “Report capture(confiscation) of ID may put a note to extend the card]
  • Notification: send notification to all the concerned people e.g. all the society members where the domestic staff is working
  • B) ID Card application is made but not yet prepared This will be similar to the Visitor Exit

Outward Material Verification

  • This facility is provided to deter and prevent theft / carrying away resident’s / society’s material in any unauthorized manner by a visitor(particularly delivery persons) / staff
  • A) Gate Pass created through the system
  • a. Is linked to the visit
  • i. When a visitor(particularly people who visited for delivery purpose)/staff exits, system will inform the security person about gatepass
  • b. Host created gatepass but didn’t link it to the specific visit
  • i. On noticing that the visitor/staff is carrying material out, security person should ask the staff about source of the material i.e. member flat number / committee member name / society manager name Based on this search for Material out request/gate pass
  • See details of the items allowed to be carried out – verify and confirm Allow for notes/Remarks by watchman on his observations. If required call the originator of the gate pass and confirm.Notify gate pass originator.
  • B) Physical Gate pass (allowed only for normal members – not allowed for society related work) The following fields should be entered: Source of Material Out Photo of physical note On update, a notification would be sent to the source.

Entry of inward material of Society

  • Any material that is received for the society, is received by security people and they report the same with the following details: Name of the person bringing it in (it may be brought by society staff/contractor in person or delivered by vendor)
  • Society Employee / Contract Staff / Committee Member / Vendor
  • Name of the person
  • Name of the company/vendor [in case of vendor]
  • Vehicle Registration Number [in case of vendor]
  • Photo of the bill/challan
  • Photo of the material brought in (Optional)
  • Place where it is downloaded / stored
  • NOTE: later, society staff may update PO or other reference number and update inventory / assets list

Security Incident Reporting

  • Security people will report any serious security incidence. Members can report security incidences through member app For any members who don’t use smartphones/computers or are not adapt at using software, security persons can lodge the incident on resident’s behalf Any staff may as well lodge an incident through security person only
  • Following details will be reported:
  • Date and Time of Incidence, Incidence observed by, Type of Issue [e.g. stealing, undesired wandering, violence, etc.]
  • If Incident Involved any society staff, domestic staff, tenant, etc. Action Taken, if any Photo/Video/Audio proof of incidence, if any
  • Notification: To Society Manager/Administrator, Committee Members, Concerned Residents
  • The notifications are sent so that the concerned authorities take cognizance of the matter and improve security processes and procedures. Proactive policies are the best policies for security.
  • NOTE: Later Society Manager/Committee Members should be able to update status and put additional remarks

Report capture(confiscation) of ID of
Domestic/Society/Contract Staff

  • Security people can take back ID card if they find its damaged, expired, become invalid, is forged, a serious security incidence is registered, or the carrier is a potential threat to the security of the society
  • After taking the ID Card back, it should be updated in the system. Notifications will inform the following: society manager, security supervisor, committee members, concerned member.
  • The notifications are sent so that the concerned authorities take cognizance of the matter and improve security processes and procedures.

Report Emergency / Lockdown

  • Any emergency / lock down (e.g. fire, armed robbery) situation reported by security people will be immediately notified to all the members, residents, visitors, domestic staff, society staff
